Series Scanner: Check In Across All Time Slots at Once
The series scanner lets your staff open a single check-in screen at the start of the day and scan tickets for every time slot — without manually switching to a new scanner between slots.
It's designed for high-frequency timed-entry experiences: fairs, museum exhibits, escape room parks, fitness studios with 6+ classes a day, or any series where switching scanner URLs mid-event would be disruptive.

When to use the series scanner
Use it when:
- You have many time slots in a single day (6 or more is the sweet spot)
- You want staff to open the scanner once and not touch it again as slots roll over
- You're OK with early or late arrivals scanning through (with a visible note to staff)
Stick with the standard slot scanner when:
- You have just 2–3 slots and switching URLs between them is no problem
- You need hard slot enforcement (you can also do this with the series scanner in strict mode — see below)

How to enable the series scanner
- Go to Dashboard → Timed Entry & Classes
- Select your series
- In the edit form, scroll to Check-in Settings
- Set Check-in Mode to your preferred option (see below)
- Save — the "Series Scanner" button will appear on the series detail page

The three check-in modes
Series scanner — open once, works all day (default)
Your staff open the scanner once. As time passes, the top of the screen updates automatically to show the current time slot. When one slot ends and the next begins, the scanner switches over on its own.
Tickets for the wrong slot still scan green — staff will see a note saying the attendee is early or late, but the scanner does not block entry. This is the right mode for most organizers.
Series scanner, strict mode — open once, staff confirm wrong-slot arrivals
Same as above, but tickets for the wrong slot are held for confirmation. Staff see a prompt: "This ticket is for the 2:00 PM slot. Admit anyway?" They can tap Yes, admit to let the person through, or No, skip to decline.
Use this when overselling a specific slot is a real concern — for example, a capacity-critical exhibit where mixing slot groups creates a problem.
Slot scanner only — a separate scanner per slot
The series scanner is disabled. Staff must open a separate check-in URL for each slot (/checkin/slot/[slotId]/live). This is the same behavior as before the series scanner was added.
Use this if you want strict, fully automatic slot enforcement with no staff override — tickets simply won't scan unless the staff device is set to that specific slot.

How staff open the series scanner
Once the series scanner mode is enabled (anything other than "Slot scanner only"):
- Go to Dashboard → Timed Entry & Classes → [Your Series]
- Click Series Scanner — this opens
/checkin/series/[seriesId]/live - Enter the series access code on the auth screen
Bookmark or add to the home screen once — staff don't need to return to the dashboard again during the day.

What staff see while scanning
Top bar — current and next slot:
The scanner header shows the currently active slot with its check-in count, and a countdown to the next slot if one starts within 30 minutes.
Spring Arts Fair
NOW: 2:00 PM – 2:30 PM 47 / 120 checked in
NEXT: 2:30 PM – 3:00 PM (in 12 min)
On a valid scan:
- On-time arrivals get a standard green confirmation with the attendee's name and ticket type
- Early arrivals get a green confirmation with a blue note: "45 min early — for the 3:00 PM slot"
- Late arrivals get a green confirmation with an amber note: "22 min late — for the 1:30 PM slot"
- In strict mode, early and late arrivals show a confirmation prompt instead
On a duplicate scan:
Already checked in — Jane Smith checked in at 2:04 PM

Between slots
When one slot ends and the next hasn't started yet, the scanner doesn't close. It shows a countdown to the next slot:

Scanner is ready — tickets for the next slot can be scanned now.
You can still scan tickets during this gap — they'll show as "early for the 2:30 PM slot" in default mode.

Strict mode vs. default mode — how to choose

When in doubt, start with default. You can switch to strict mode between events.

FAQ
Can I use the series scanner for a series with just 2 or 3 slots?
Yes — it works fine. But the slot scanner is equally good for small slot counts, and some organizers find the per-slot URL easier to reason about. Either approach is valid.
What happens if a ticket scans as "late" in default mode?
The attendee is admitted. Staff see an amber note with how many minutes late they are, but the scan goes through immediately. No action required.
What about in strict mode?
A confirmation prompt appears. Staff can admit the attendee ("Yes, admit") or decline ("No, skip"). If they admit, the check-in is recorded normally.
Does the series scanner need an internet connection?
At the start of the session, the scanner downloads the full attendee list for all slots in the series and stores it on the device. After that, scanning works offline. Scans are queued locally and synced to the server when connectivity returns. Attendee counts in the header may lag slightly while offline — they update when connection is restored.
Can multiple staff members use the series scanner at once?
Yes. Each device opens the scanner URL independently using the same series access code. Check-in counts in the header update in real time across all devices — if one device scans someone in, all other open scanners reflect the new count within a few seconds.
Will the series scanner work for SP-03 recurring event series (e.g., a monthly workshop)?
No — the series scanner is for GAP-01 timed-entry series (the "Timed Entry & Classes" product) only. SP-03 recurring events use the standard /checkin/[eventId]/live scanner. Each SP-03 event instance has its own check-in URL.
