Event Day Mode
Event Day Mode is the full-screen scanning interface for your check-in staff. It runs on any phone browser, does not require staff to have an Equaticket account, and works offline. Available on Starter, Growth, and Pro plans.
Opening Event Day Mode
From the Door Staff Access panel on your event's Check-in tab, click Event Day Mode.
If you are signed into the dashboard as an owner, admin, or event manager, you will be taken directly into the scanner — no access code prompt. Door staff on separate devices (no dashboard login) will see a code entry screen when they open the scanner URL; the hint on that screen tells them where to find the code.
Giving Staff Access
Staff do not need an Equaticket account. From the Check-in Access Code panel, enter a staff member's email address and send them a magic link. The link opens Event Day Mode directly and stays valid for 8 hours.
If the magic link expires or does not arrive, staff can use the numeric access code as a backup. They will see an entry form when they visit the scanner URL — entering the access code grants them access.
If you want staff to have ongoing check-in access beyond a single event, invite them with the check_in_only role from Settings → Team. Staff with this role can only see the Events section of the dashboard — they have no access to orders, billing, or settings.
The Scanner Interface
Three tabs at the bottom of the screen:
- Scanner — Point the camera at a ticket's QR code. Green screen = valid ticket, successfully checked in. Red screen = invalid, already used, or refunded. The device vibrates and plays a brief sound on each scan.
- Search — Find an attendee by name or order number and manually mark them as checked in. Use this when a buyer cannot display their QR code.
- Recent — A live feed of the last check-ins across all devices at your event. Updates in real time.
A stats bar at the top of the screen shows how many tickets have been checked in vs. total sold.
Using Multiple Devices
Any number of staff can run Event Day Mode simultaneously for the same event. Send each person their own magic link. The stats bar and Recent tab sync across all devices in real time.
Offline Mode
If a device loses internet connection, scanning continues locally. An amber banner at the top of the screen shows how many scans are queued and waiting to sync. Tap Sync now to retry the connection manually — or wait for connectivity to return and it syncs automatically.
If a ticket was scanned on another device while your device was offline, you will see a conflict message when syncing: "Already checked in by another device." No action needed — the check-in is recorded correctly.
Installing to Your Home Screen (Recommended)
For the best experience, add Event Day Mode to your phone's home screen before the event:
- iPhone/iPad: Tap the Share button in Safari → Add to Home Screen
- Android: Chrome will show an "Add to Home Screen" prompt automatically, or use the browser menu → Add to Home Screen
Once installed, Event Day Mode opens full-screen with faster load times and better offline reliability.
Troubleshooting
Camera will not start
Check that your browser has camera permission (Settings → browser app → Camera). On iPhone, use Safari — some third-party browsers do not support camera access.
QR code will not scan
Tap the torch icon in the top corner to turn on the flashlight. If the code is damaged or the screen is cracked, use Search to find the attendee manually.
Sync is stuck
Check your internet connection. If connected but not syncing, close and reopen Event Day Mode. Your queued scans will not be lost.
