Setting Up Check-in for Your Event

Every Equaticket event includes built-in check-in tools. Here is how to get your door operations ready.

How check-in works

Each ticket has a unique QR code with an HMAC signature. When scanned, the system validates the ticket against the server in real time. This means every scan confirms the ticket is valid, has not already been used, and has not been refunded -- no fake or duplicate tickets get through.

Free tier check-in

All organizers get:

  • Attendee list with search -- look up attendees by name or email
  • QR scanning via your device's camera
  • Manual check-in by searching for the attendee's name or entering their ticket code
  • Basic stats showing how many attendees have checked in

On the Free tier, every scan goes to the server for validation. Expect response times of 200-500ms per scan -- fast enough for most events.

Paid tier enhancements

Paid plans (Starter, Growth, Pro) unlock additional check-in features:

  • Installable PWA -- add the check-in app to your device's home screen for a native app experience
  • Optimistic UI with client-side HMAC -- the app verifies the ticket signature locally for near-instant (<50ms) feedback, then confirms with the server in the background
  • Realtime sync -- multiple devices see check-ins happening across all gates in real time via Supabase Realtime
  • Gate/zone management -- assign check-in devices to specific gates and track throughput per gate
  • Check-in analytics and data export -- detailed stats and CSV export of all check-in activity
  • check_in_only team role -- give door staff access to check-in without exposing your full dashboard

Getting started with check-in

  1. Publish your event -- check-in is available once your event is published.
  2. Open the check-in page from Dashboard > Events > [Your Event] > Check-in.
  3. Share the access code with your check-in staff. The access code is shown on the check-in settings page.
  4. Staff open the check-in URL on their devices and enter the access code to authenticate.
  5. Grant camera permissions when prompted so QR scanning works.

Pre-event checklist

  • Test QR scanning on all devices before doors open
  • Verify WiFi or cellular signal at the check-in location
  • Ensure camera permissions are granted on each device
  • Have a backup device charged and ready
  • Print an attendee list as an emergency fallback
  • Share the access code with all check-in staff
