Archiving, Hiding and Deleting Events

You have three ways to tidy up an event, and they do different things. Hide from listings keeps the event but takes it off your public pages. Archive puts an event away. Delete removes a draft that was never used. Archiving and hiding never remove anything a buyer has.

Hide from listings

Open an event and choose Hide from listings in the More menu. Choose Show in listings to bring it back. You can do this on an event of any status, including one that has ended or been cancelled.

A hidden event no longer appears on your organizer page or in public lists, and search engines are asked to skip it. Anyone with the link can still open the page. On a published event, anyone with the link can still buy tickets. To stop sales, pause the event.

Archive an event

Archiving is for events you are finished with. You can archive a draft, a completed event or a cancelled event. You cannot archive a published or paused event. Cancel it first, or wait until it has ended. You can still hide a live event.

To archive, open the event and choose Archive event in the More menu. Owners, admins and event managers can archive and restore events.

What changes:

  • The event leaves your public organizer page and public lists.
  • It leaves your default Events list. Use the Archived filter on Dashboard > Events to find it, or All to see everything.
  • Its public page shows a short notice instead of the event, with a Find my tickets link. It says either that the event has ended or that it was cancelled.
  • No email is sent to anyone, and nothing is refunded or cancelled.

What does not change: people who bought tickets keep their tickets, receipts and emails, and their ticket links still work. Orders, refunds, reports and exports still include the event, and you can still refund an order from an archived event. Archived events also appear in the event list on Dashboard > Orders.

You cannot edit the details of an archived event, and an archived draft cannot be published. Choose Restore event to change it again. Restoring puts it back exactly as it was: a draft stays a draft, and a completed event stays completed.

If an archived draft has a banner image, the image is removed automatically 90 days after you archive it. Restoring the draft before then keeps it. Download the image first if you want a copy.

Skipping a date in a recurring series

Archiving a future draft date in a recurring series skips that date. The series will not create it again. Restore the date if you change your mind. See Recurring Event Series.

Delete a draft

Delete is only for a draft that was never published and has no real orders. Deleting removes the event, its ticket types and any test tickets for good, and it cannot be undone. It also frees the event's web address for reuse.

Only owners and admins can delete. Open the draft, choose Delete event in the More menu, type the event name to confirm, then click Delete draft.

Delete is not available when:

  • the event has orders or other buyer activity;
  • the event was ever published;
  • the date belongs to a recurring series (archive it to skip the date);
  • it is the demo event.

When delete is not available, the page says why and offers Archive event instead.
