Importing Tickets From Another Platform

If you already sold tickets for an event somewhere else, such as Eventbrite, TicketSpice or Luma, you can import the attendee list from a CSV file. Each imported attendee gets a new Equaticket ticket with its own QR code, emailed to them, so you can check everyone in with one scanner.

Before you start

  • You must be an owner or admin of the organization.
  • The event must be published, paused or completed, and it needs at least one ticket type.
  • The file must be a CSV of 5 MB or less (about 5,000 rows).

Import a file

  1. Open the event and go to its Attendees page.
  2. Click Import Tickets and upload your CSV.
  3. Check the column mapping. For Eventbrite, TicketSpice and Luma exports we fill it in for you. For any other file, pick the columns for Attendee Email and Ticket Type. First name, last name and the two ID columns are optional.
  4. Click Review Import. You'll see how many tickets are ready, how many were already imported, and how many rows are invalid.
  5. If a ticket type in your file doesn't exist on the event, choose an existing ticket type to map it to, or let us create a new one. A ticket type we create is hidden and not on sale, so it never shows on your event page.
  6. Click Continue, then the Import button, which shows how many tickets it will create.

Each attendee is emailed a new ticket. Sending these emails doesn't use up any of your email sends, and imported tickets don't count toward your plan's ticket limits.

Buyers with more than one ticket

If one buyer holds several tickets of the same type, each of their rows in the file becomes its own ticket. A buyer with four General Admission rows gets four tickets.

Uploading the file again

You can upload an updated file later, for example after more tickets sold on the other platform. Tickets you already imported are skipped, and only the new ones are added. How we recognize them depends on your file:

  • The file has a ticket ID column (Eventbrite exports have one, called Attendee #). A ticket is skipped when its ID was imported before. A row that repeats an ID within the same file is skipped too.
  • The file has no ticket ID column. Tickets are matched by email and ticket type. If Maria has four General Admission rows and four were already imported, none are added. If she now has five, one is added.

For a file we don't recognize, map Ticket ID (one per ticket, optional) to a column that is different for every ticket. Don't use the order number: every ticket in an order shares it.

Only earlier imports count. A ticket someone bought on Equaticket never stops an import, and importing never removes or changes a ticket.

Good to know

  • One import at a time. If you click the Import button twice or start a second import for the same event while one is running, you'll see "Another import for this event is still running." Wait for the first to finish, then try again.
  • Refunds stay on the original platform. An imported ticket was paid for elsewhere, so it can't be refunded in Equaticket. See How Refunds Work.
  • Imported tickets can't be cancelled from the dashboard.
  • Seats count. Imported tickets use up seats on the ticket type they land on. If a ticket type doesn't have enough seats left, the import stops before anything is created and tells you how many seats are left.
  • Check the history. Click View import history on the Attendees page to see each import, how many tickets it created and how many emails went out.
