Selling on Another Platform Too: Scan Their Tickets With Equaticket
Some events sell on Eventbrite or another platform and also on Equaticket. You can upload the other platform's attendee list so those guests keep the tickets they already have and your Equaticket scanner admits them at the door. No email goes out, and there is one scanner and one attendee list.
This works with any platform whose attendee export includes a column with each ticket's code.
When to use it
Use it when most of your sales happen on Equaticket but a share of your guests bought elsewhere. If you would rather give those guests a new Equaticket ticket by email, use Importing Tickets From Another Platform and choose Send new Equaticket tickets.
1. Set aside seats
- Open the event. In the Selling on another platform too? section, select Add seats sold elsewhere.
- Pick the platform. If you pick Other, type its name.
- Enter the name to show on your attendee list (for example "Eventbrite tickets") and how many seats you set aside.
This creates a hidden ticket type that is never on sale. It holds the other platform's guests so your capacity numbers stay honest. If an upload brings in more tickets than you set aside, we raise the number to fit and show an amber warning that your event may be oversold. The warning stays until you select Accept on the new size or lower one of your Equaticket ticket types.
Owners, admins and event managers can set up seats. You can only remove seats that have no imported tickets.
2. Export with the barcode column
Eventbrite. Open the attendee report, choose Configure columns, and tick Barcode number, then export as CSV. Eventbrite changes its screens from time to time. If the names differ, look for the column that holds each ticket's barcode number.
Humanitix. The QR code data is in the last column of the Attendee details CSV.
Any other platform. Look for a column called Barcode, QR code or Ticket code, and export as CSV.
Do not open the file in Excel before you upload it. Eventbrite barcodes are long numbers, and a spreadsheet app rounds them. We refuse a column that has been changed this way and tell you to export again.
3. Upload and choose
- On the event's Attendees page, select Import Tickets and upload the file.
- Check the mapping. We suggest the Barcode and Order status columns. A short sample and the shape of the codes are shown so you can see you picked the right column.
- Choose Keep their tickets. Nothing is chosen for you.
- Map each ticket type in the file to your seats, or create new seats for it.
- Review the counts, then import.
If the file shows refunded or cancelled tickets that you already hold, tick Cancel these tickets so they can't be scanned in to stop them being admitted. Leave it unticked and nothing changes for them.
Check one ticket before the event
When the import finishes, select Scan a ticket and scan one real ticket from the other platform, from a phone or a PDF. Or paste its code. You can also open Check a ticket from the seats section at any time. It tells you whether that ticket will scan at your door, and it never checks anyone in.
If it does not match, you may have picked the wrong column, or the platform may give guests a different code from the one in its export. Export again with a different column, or contact support.
Use only the Equaticket scanner
Scan every ticket with Equaticket only. If you also scan with the other platform's app, a guest could get in twice, because the two apps do not share check-ins.
Eventbrite's terms say organizers should check tickets with Eventbrite's own app. Scanning Eventbrite tickets with Equaticket instead may affect how Eventbrite handles a refund or fraud dispute for those tickets. We are not giving legal advice, so read their terms for your event.
Voiding a ticket
Imported tickets cannot be refunded in Equaticket. To stop one being scanned, owners and admins can select Void ticket on the Attendees page. This does not refund anyone, so refund the buyer on the other platform too.
For late buyers, the morning-of upload and what happens offline, see Other-Platform Tickets at the Door.
